Team Sydney Sports Village at New Mardi Gras Fair Day

Once again Team Sydney will have a presence at Fair Day.  This year will see the biggest number of stalls ever.  As it stands now, stallholders are as follows:

Here are the bump-in times for Sports Village stall holders.  As per the instructions sent out for Bump-in --

  • Your arrival time has been planned to minimise traffic jams, so please arrive on time.

  • Each vehicle has been allocated a maximum of 15 minutes to unload. 

  • Vehicles cannot remain on the park (unless previously authorised) and must be removed by 9am. 

  • There is no allocated parking for stallholders. There are two public parking stations located nearby at Broadway Shopping Centre and in the street behind the Seymour Centre. 

  • The sale of pre-packaged alcoholic and non-alcoholic beverages including bottled water & soft drink is not permitted as stipulated in our stallholder terms & conditions. When providing bottled water to your staff and volunteers only “Pump” branded bottled water is permitted. 

  • Community Stalls are not permitted to solicit donations. Community Stalls are permitted to have a donation tin on the bench of the stall structure. 

  • Stalls are not permitted to distribute circulars or other promotional material. Stallholders are permitted to place these on their stand for visitors to collect. 

  • At this stage vehicles may not re-enter the park until 9 PM, as determined by the event manager. Safety is our first concern, but we continue to work with security and event management to seek an early bump-out traffic plan. You are welcome at any time to bump your stall out by walking your belongings off the park.

 

For your bump-in – all the times really refer to vehicles on the park – if you have no requirement to bring a vehicle to your stall, you may arrive later, and have it all set up in time for kick-off at 1000.

Hello again all,

 By now, you should have received advice from New Mardi Gras about when your bump-in times and gate locations to use are. They sent those details to the email address you used to register your stall. A box in the top corner apparently shows your time.

If you do not have the confirmation, then give me a call and I will sort out with them when and where you have to be.

 The timings as set out below still stand, it looks like I managed to get lucky and fit in all our major activities around their big ticket events on Main Stage (all planned of course!!)

I have confirmed with NMG now that the ‘ribbon-walkers’ are not required – the idea was dropped about a week ago apparently.

 Finally – I have attached an excel spreadsheet that shows your _rough_ stall location. Please note that we may have to amend this slightly on Saturday once we actually have stalls roughly in place, and the stage set up. This sheet will give you a rough idea of who your neighbours should be however.

 Thanks for all the responses re Tug-of-War and things to advertise during the day – keep them coming in if you haven’t responded yet, so far it’s looking good for the ‘Restricted’ tug-of war competition, but I’d really like a few more to make sure that the Convicts don’t take out both Divisions! (they have an orange-boy team ready to go)

 So far so good – fingers crossed for good weather!

Hi all (again),

 This separate email is to highlight that Team Sydney will once again be hosting the annual Tug-of-War tournament at Fair Day.

Last year saw the Convicts go down to the Volleyballer’s in a tough final. I have it on good authority (since I saw him on crutches) that the Volleyballer’s are down a key member, so the competition is wide open this year!

 The competition will begin at 1445h (2.45pm) in the Sports Village area on the hill, to the left of Main Stage as you look at it. We would like registrations of interest early, preferably before the day! Also, if there is sufficient interest, we will run two Divisions – an Open division, and a Restricted Division (no individual in excess of 90kg weight). Each team will need 6 members in the pull.

 I have had a few teams/organisations enquire recently, however I would like to confirm team numbers, so if those groups could now please get back to me with those confirmed numbers, that would be great.

Hi all,

 A quick update from Team Sydney re Fair Day - We have been given free use of the pool to conduct some activities on Fair Day – note, this is not for general swimming, but rather for us to host some demo’s/events.

·         From 10:30am, we will have the pool available, and people setting up for the events. Social volleyball will be held in the shallow end of the pool, for everyone to join in.

·         From 11:00am, we will have a demo from the Stingers Water Polo Club, as well as an opportunity for people to join them in a friendly game.

·         The events will both conclude at Noon, as we have to return the lanes to the regular swimmers at that time.

 For both activities, it’d be great to have a big turnout – there isn’t a problem with room in the water, so the more the merrier! Weather conditions look like they’ll be fine, so can’t use that excuse!

 Please publicise to your club members, and feel free to issue a challenge to the Stingers to show them that chucking a ball around in the water can’t be that hard**. Get people to bring their swimmer’s, tog’s, speedo’s (or boardshorts if you’re shy) and a towel, and come in for a splash!

Hello all,

My apologies for not getting this out prior to the weekend, but there were a few things I was still confirming with NMG (and still are) – but now is as late as I want to get.

 I will try and make this mail as brief/succinct as possible, with a couple of different emails to come on other subjects for ease of distribution to your members, and also because the distribution list is a little different in some cases for me.

Re Bump-in/bump-out (i.e., set up and tear down times) – I understand that NMG Fair Day Stall Coordinator will be emailing these out tomorrow (Tuesday). There isn’t a lot of flex in whatever times they give you, as it is mostly based on our location (up the back of the park) – hence stalls closer to the road have to get in after us, and leave before us.

·         A reminder that any promotional things you have to do are generally meant to be limited to inside your stall area. If you have ideas of things you wish to do outside the stall, then you must have already coordinated those with NMG.

·         No pegs are to be used on the park (they have a new irrigation system installed, and the City of Sydney is very sensitive)

·         You may remember I told you about the ‘ribbon walk’ at the start of the day being organised by NMG – I still haven’t got any details from them on this, so stand-by for a last minute call for volunteers!!

·         If your club has anything that you would like us to publicise on the day (eg, upcoming fund-raising events, tournaments, significant events), then please let me know by Friday so that we can incorporate into the run sheet for the MC/announcer/guy-on-mike. Of course, feel free to come up on the day as well, but beforehand would be better!

 For everyone’s info – there will be a large stage setup in the Sports Village area, this is being used for a few different clubs to do demo’s on. Also – there will be a dunking machine set-up on one end of the stall layout, and the Convicts ball-passing setup on the other end.

 I cannot confirm yet the exact location for you of your stall, as that is one of the things I am still negotiating with NMG (small problem of not enough stalls being assigned to us!). Broadly, the stalls will be in a similar location to last year. At the end of this mail I will provide a Google Maps link to show you the approximate layout.

 Current timetable of activities (please advise ASAP if I have left something out!):

0700 – First bump in’s scheduled (individual stall times to be advised)

1000 – Fair Day start

1030 – Pool activity starts –Volleyball and Water Polo

1100 – GLMA rehearsal (stage) until 1130

1200 – Pool activity ends

1215 – Football (Soccer) demo/join-in (field)

1300 – Phoenix All Stars demo (stage)

1315 – Volleyball demo/join-in (field)

1400 – GLMA Demo (stage) until 1430

1430 – Phoenix All Stars demo (stage)

1445 – Tug-of-war begins (field)

1600 – Tug-of-war complete

 Weather forecast at the moment for next Sunday is “Chance morning shower. City: Min:18 Max:25” – but who trusts the Weather Bureau this far out! Last year’s forecast was also for a top of 25, so plan on something similar...

FAIR DAY UPDATE

Thanks for those who have replied to confirm their attendance at Fair Day – I am leaving others on the distribution list until I hear otherwise.

From the meeting on Thursday 4th December with New Mardi Gras, I have the following points: 

·     Our location (for the Sports Village) will be the same as previous years. The Sea of Hearts (always a popular target with the ball sport demos) will be moving closer to the Main Stage – I think we scared them off! 

·     As part of the festival launch, NMG are planning an opening ceremony and have asked for some volunteers from community organisations to assist. Closer to the event, I’ll be hoping to grab somewhere between 10-16 people who will carry a ‘ribbon’ through the crowd down to Main Stage. The ribbon will be about 10 metres long, and 1 meter wide, with 7 ribbons snaking their way through the park. We’ll only have to help out with one ribbon though. More on this later. 

·     NMG is happy to offer cheap rates to community stalls who wish to sell food – and ice-creams in particular will not be sold by any commercial organisation, only community groups. If you are interested in having this as part of your stall, then let me know and I’ll enquire about actual rates. I would caution however that if you do sell food, then you will have to meet Sydney Council Food Preparation Licensing requirements, which will probably involve having refrigerated storage available (and hence electricity). The following website will give you some idea of what requirements you will have to meet:

·     Bump in – Vehicles will have to be clear of the park by about 0930h on Sunday morning. 

·     Bump out – No vehicles will be allowed on before 2000h (8pm for some). Note however that the Sports Village is normally packing up by about 1630-1700h. 

·     Raffle tickets/Flyers/Promotions – If you are planning to run a raffle, or hand out flyers for your club, then you can only do so from the vicinity of your stall – You can’t wander around the park or the Village. 

·     Pegs – No pegs to be used to set up any equipment!!!! 

·     There will be a deadline to get items into the festival program, it should be around mid-late January, but NMG will advise me of that later. 

I’m still keen to confirm who will be attending, so please get back to me as soon as you can thanks (and also if you aren’t, so that I will stop spamming you with these updates!).

To answer a common question I have received – the Team Sydney subsidy will at least match what we offered last year (ie, $50), however I need to confirm this with the Team Sydney Board at our next gathering.  The Board is at present looking for further sponsorship to make this possible. 

A reminder – you will need to complete the online application with NMG Fair Day direct through their website (as advertised below).

Hi there,

To introduce myself – I am (Name to be Advised), one of the Team Sydney directors, and have volunteered to coordinate the Team Sydney Fair Day activities.

I am sending this to you all as previous contacts for Fair Day 2008, and also via the Sports Council to make sure we try to capture everyone who may be interested. Please pass on to a better person if you have one for your club!

 Fair Day is rapidly approaching (75 days to go today! Sunday 15 February 2009) - once again Team Sydney is coordinating stalls for the Sports Village area of Victoria Park. The broad format will be similar to last year (for those involved).

 
Important things to note:

- The deadline for early bird registration is 31st December 2008.

- The stall price remains at $220 – same as last year

- If you do not get your app in before the 31st December deadline, then the stall cost is $275

- Team Sydney will be subsidising member clubs towards the cost of their stalls.

- If you have any special requirements, please contact me directly.

 I will be attending a meeting with New Mardi Gras at Victoria Park this coming Thursday evening (4 December), to discuss the layout and running of the day. Following that meeting, I will provide an update.
